An opportunity has arisen for an Executive Assistant to join the Product and Engineering department in a rapidly expanding and exciting work environment.

About the role

The Executive Assistant plays a crucial role in ensuring smooth operations and support for the CPDO.  This position requires proactive administrative support, impeccable organisation skills and the ability to manage projects with discretion and professionalism.

 

As the right-hand partner to the CPDO, the Executive Assistant plays a vital role in coordinating schedules, understanding critical priorities and is a facilitator who operates with seamless communication.  Influencing skills are a must, in communicating between stakeholders, streamlining workflows to enable executive productivity.  The role also demands a high level of adaptability in a fast-paced environment, where priorities can shift rapidly.

 

As a key point of contact both inside and outside of the organisation, it is critical to foster strong relationships, ensuring that the CPDO’s vision and objectives are effectively communicated and executed.  The Executive Assistance must also demonstrate strategic coordination, confidentiality, attention to detail and be driven by a desire to support both their leader and teams’ success, as well as driving business impact and company performance.

What you will do

  • Administrative support:  Managing complex global scheduling, coordinate meetings, handle travel arrangements,
  • Financial acumen – manage budgets, purchase orders, expenses and travel sign offs
  • Communication management – draft, edit and format executive communications, presentations and reports
  • Project Coordination – assist in organising and tracking key projects, ensuring deadlines are met
  • Stakeholder engagement – serve as a liaison between the CPDO and internal/external stakeholders
  • Event planning – organise executive meetings, conferences and team building events
  • Confidentiality and discretion – handle sensitive information with professionalism and confidentiality
  • Technology and tools – utilise productivity tools like Microsoft Office, Co-Pilot, WhatsApp and project management software to streamline outputs and delivery
  • People engagement – creating team engagement cadence and call out key activities.  Assist with scheduling direct report management, performance review and KPI monitoring.  Assist with recruitment drives.

  • Proven experience supporting a C-level executive
  • Experience supporting a leader in a fast-growing technology business
  • Strong verbal and written communication skills
  • Technical proficiency in software and collaboration tools
  • Adaptability to thrive in breakthrough technology, dynamic environment
