Work Location: Perth – Fortescue’s Perth office is located on the traditional lands of the Whadjuk Noongar people. Ad hoc domestic and/or international travel may be required.
Roster: Monday to Friday
The Administrator (TimePro & Systems) supports the Special Projects function within the Services & Controls team by providing day-to-day user support across systems, with a current focus on Intertec TimePro. This role is responsible for responding to user enquiries, troubleshooting access issues, and providing guidance to Department Administrators who support their teams. The Administrator plays a key role in ensuring the accuracy and completeness of timewrite data to support correct month-end cost recovery and reporting.
Administrative support may also be required for other project management systems, as directed by the Special Projects Manager. This includes assisting with system-related data entry, cleansing data, developing and maintaining user guidance training materials, plus process improvement initiatives.
The ideal candidate will bring excellent customer service, communication and interpersonal skills, a proactive and solutions focused mindset, and a strong willingness to learn and improve systems and processes. This role requires a fast learner who is comfortable navigating digital systems, managing competing priorities, highly organised with strong attention to detail, and working collaboratively with cross-functional stakeholders.
Key Responsibilities
- Develop expert working proficiency in the timewriting system as well as other project systems and reports
- Day to day user support, respond to user enquiries, trouble-shoot access issues
- Provide training and guidance to new users and Department Administrators who support their teams
- Facilitate the migration of new teams into the timewriting system and other platforms
- Data entry, updates and other administrative tasks as required
- Work with Cost Controllers to input, maintain and ensure the validity of projects within the timewriting system
- Develop procedures and maintain user guidance and training materials
- Solve basic technical issues and route more complicated issues to correct team (training provided)
- Track issues to completion and provide feedback and status updates to users and stakeholders
- Build and maintain a healthy working relationship with key stakeholders, sub teams and external interested parties.
Qualifications and Experience
- While this role does not require a formal degree, a combination of relevant vocational training, certifications, or practical experience will position candidates well
- Certificate IV or Diploma in Business Administration, Information Systems, Project Support, or similar — highly regarded
- Training or certification in systems administration, IT support, or project controls (desirable but not essential)
- Previous experience with Intertec TimePro or other timewriting/workforce management platforms is desirable but not essential
- Minimum 3-5 years demonstrated experience in IT support, department administration or related role
- Proven experience in supporting end users, including providing training and guidance is essential
- Experience with Power BI reporting and dashboards is advantageous
- Financial literacy, with exposure to SAP and a general understanding of month-end recovery processes is desirable
- Strong communication and presentation skills essential
- Ability to document procedures and maintain user support material.
