We are seeking a dedicated and proactive Executive Assistant to provide comprehensive administrative support to the Director Operations - Iron Bridge. This role offers a unique opportunity to be an integral part of a dynamic team in a tier 1 mining company going green.  The roster of 4 days on and 3 days off provides a balance between work and personal time while contributing to the success of our operations. Key Responsibilities

  • Administrative Support: Assist the Director Operations - Iron Bridge in daily administrative tasks, including managing calendars, scheduling meetings, arranging travel itineraries, and coordinating appointments.
  • Communication Management: Serve as a liaison between the Director Operations - Iron Bridge and internal/external stakeholders, handling incoming calls, emails, and inquiries with professionalism and discretion.
  • Document Preparation and Management: Prepare and edit reports, presentations, and correspondence for the Director Operations - Iron Bridge. Maintain organised digital filing systems.
  • Meeting Coordination: Organise and coordinate meetings, conferences, and events, including logistics, agendas, and necessary materials.
  • Relationship Management: Build and maintain positive relationships with team members, stakeholders, and clients on behalf of the Director Operations - Iron Bridge.
  • Information Handling: Handle sensitive and confidential information with utmost discretion and ensure confidentiality protocols are followed.
  • Special Projects: Assist in special projects, research, and presentations as assigned by the Director Operations - Iron Bridge.
  • Operational Support: Collaborate with various departments to facilitate efficient operations and ensure smooth communication across the site.
  • Commercial Support: Assist with interpreting operational strategies, reviewing contractual obligations, and preparing briefing notes on business-related matters. 

Qualifications and Experience

  • Proven experience as an Executive Assistant or similar role, preferably in a mining or industrial setting.
  • Experience reviewing and understanding business strategies, commercial agreements, and contractual documentation would be highly regarded.
  • Exceptional organisational and time-management skills with the ability to multitask and prioritise effectively.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Excellent verbal and written communication skills.
  • Strong attention to detail and problem-solving abilities.
  • Ability to work autonomously and under pressure in a dynamic environment.
  • Flexibility to adapt to changing priorities and schedules in a remote site-based setting.
  • Understanding of confidentiality obligations and professionalism in handling sensitive information.
  • Tertiary qualifications or equivalent experience in Business Administration, Management, or a related field – highly regarded
  • Previous experience supporting high-level executives is highly desirable.
