Our Opportunity
Work Location: Perth - Fortescue’s Perth office is located on the traditional lands of the Whadjuk Noongar people
Roster: Monday to Friday
We are seeking a highly organised, proactive and team-oriented Executive Assistant to provide timely, efficient and effective high-level support to the Director Artificial Intelligence and Integrated Technology. This role will be responsible for anticipating priorities, coordinating complex diaries and travel, preparing high-quality meeting and reporting materials, and ensuring leaders are supported to focus on strategic and operational priorities.
The successful candidate will build trusted relationships across the business and manage sensitive information with discretion. The role requires sound judgement, strong attention to detail and the ability to work calmly and confidently in a fast-paced environment, balancing competing priorities while maintaining a high standard of service.
Key Responsibilities
- Provide comprehensive executive support, diary and email management
- Coordinate complex domestic and international travel, meetings, workshops, site visits, events and stakeholder engagements, ensuring logistics, venues and attendees are well managed.
- Use AI and digital tools to improve executive preparation, information management and administrative workflows increasing efficiency and responsiveness
- Support financial and administrative processes, including purchase requisitions, invoice reconciliation, receipting and end-of-month activities.
- Act as a professional first point of contact for internal and external stakeholders, building effective relationships across all levels of the organisation.
Qualifications and Experience
- At least five years' experience in an Executive Assistant, Personal Assistant or senior administration role, with a demonstrated ability to provide proactive, positive and confidential support to senior leaders in a complex corporate environment.
- Strong capability in complex diary management, meeting preparation, travel coordination and executive administration.
- Advanced proficiency in Microsoft Office 365, together with excellent written and verbal communication skills and the ability to prepare clear, accurate and professional correspondence and documents.
- Highly organised, self-motivated and resilient, with the ability to manage competing priorities and demanding stakeholder needs.
- Experience in the resources or mining industry would be advantageous.
